JOB SUMMARY : Provides advanced clerical and computer support to Director and/or Assistant Director.


  • Generates department correspondence and/or reports. Coordinates with other departments and companies offices the acquisition of information needed for special projects and meetings. Develops material for supervisors’ use in responding to requests or requirements.

  • Utilizes MS Word and Excel to analyze, compile, update and maintain department correspondence and/or reports. Disseminates data/information to the appropriate parties. Prepares expense reports. Creates presentations and materials for special projects using MS PowerPoint and other computer programs

  • Reads and routes incoming mail. Processes outgoing mail. Disseminates sensitive materials to the appropriate areas.

  • Maintains calendars; coordinates meetings; and sets appointments. Make travel arrangements.

  • Answers telephones providing information requested or directs calls to the appropriate party. Greets visitors to the department and directs to appropriate party.

  • Maintains department files.

  • Provides direction, guidance, and/or training to department, clerical support.

SCOPE: Ensure the smooth operation of the department, answering and prioritizing phone calls and correspondence. Job requires a high degree of tact and confidentiality; often corresponds with guests and executives throughout the company.

EDUCATION: High school degree or GED: is required. Bachelor’s degree is preferred.

EXPERIENCE: 3-5 Years experience as a Legal Secretary with a law firm or corporate/government legal department required; or equivalent combination of education and experience. Must be proficient in MS Word and Excel; Proficiency in MS PowerPoint and SharePoint preferred; or equivalent combination of education and experience.Proficiency with telecommunication devices (e.g., iPhone) preferred.

ADDITIONAL INFORMATION: Must be able to work in a high-paced environment handling multiple tasks at the same time; and must maintain confidentiality of projects, legal and business information at all times.
